Bulk edit work items on a Jira board

You can update several Jira work items together by selecting them on a board, in a list or backlog, or in search results. The board opens the bulk-change wizard; the list and backlog also offer a bulk-edit sidebar. Start with the board walkthrough for your space type, or use the search route for work spread across several views and the list or backlog route for direct field edits.

Bulk edit work items

In company-managed spaces, bulk editing is gated by a global permission. Without Make bulk changes, the menu item is hidden entirely: no error, no nudge, it simply isn't there. Once you have it, the flow looks like a board action but pivots into a separate wizard the moment you confirm.

  1. Verify the "Make bulk changes" global permission

An admin grants this from Settings → System → Global permissions. Without it, the Bulk change menu won't appear on the board at all. Ask your Jira admin to assign it to your group, or have them run the operation for you.
  2. Multi-select cards on the board

Hold ⌘ (Mac) or Ctrl (Windows) and click each card you want to edit, or Shift-click to grab a range. Selected cards highlight with a checkmark badge.
  3. Open Bulk change

Right-click any selected card, or click ⋯ on a selected card and choose Bulk change → Edit work items. Jira leaves the board and opens its bulk change wizard.
  4. Walk through the wizard

Confirm the selection, pick the field you want to change, enter the new value, and toggle Send email notifications off unless you want every assignee and watcher emailed. Summary, Description, Attachments, and Environment are excluded. Components and Fix versions can be changed when all selected work items belong to one space and the field and permission conditions are met. Check the field guidance below before applying an edit.
  5. Confirm and wait

Click Confirm on the final screen. Keep the dialog open until processing completes; closing early can leave the edit half-applied. The 1,000-work item cap applies per operation, so larger updates need to be split into batches.

Learn how

Bulk edit Jira work items from search results

Use All work search when the selection spans boards or spaces, or when a saved filter or JQL query is the easiest way to find the work. This route uses the bulk-change wizard and requires Make bulk changes plus the relevant permissions in every selected space.

  1. Find and check the work items

Open All work search and apply your filters. For example, project = DEMO AND assignee = currentUser() ORDER BY updated DESC finds your assigned work in an example space with key DEMO. Replace DEMO with your space key and check the results before selecting anything.
  2. Open Bulk change

Select More actions (•••) → Bulk change work items. Choose the work items to update and select Next. Split selections above 1,000 into batches.
  3. Choose Edit work items and the field

Select Edit work items, then choose the fields and values. To change workflow status, choose the separate Transition work items operation; transitions must be grouped by workflow.
  4. Review and confirm

Check the selection, values, and notification option. Confirm the changes and wait for Jira to finish before acknowledging completion.

Bulk edit Jira fields from a list or backlog

Jira also provides a bulk-edit sidebar for lists and software backlogs. Use it to update fields shared by the selected work items. Available fields and actions depend on your selection and permissions; the board walkthrough above describes the separate wizard route.

  1. Select the work items

Use the checkboxes, ⌘ (Mac) / Ctrl (Windows), or Shift to select the work you want to change in the list or backlog.
  2. Open the editing sidebar

In a list, select Edit from the selection toolbar. In a software backlog, select Edit → Fields.
  3. Choose fields and the kind of edit

Edit a shared field directly or search for another field. Depending on the field, choices include Keep as is, Add new, Find and remove, Replace all, and Remove all.
  4. Review before applying

Select Next, check the confirmation screen, and select Confirm to save the edits.

Bulk-edit examples

Reassign a set of work items

For example, filter work assigned to you in one space, select the items being handed over, and set their Assignee to the new owner. You need permission to assign every selected work item. Check the selection before confirming so unrelated work stays with its current owner.

Raise the priority of selected work

Select the work items for a triage decision and set Priority to High. This changes the field, not the workflow status. To move work to a different status, use a workflow transition and check the required fields and available transitions for that selection.

Add a label while preserving existing labels

In the list or backlog sidebar, choose Add new for Labels and enter an example label such as release-review. Choose Replace all only when you intend to replace the existing labels on every selected work item. Review that choice before confirming.

Good to know

Before you start a bulk edit, check these limits and field conditions:

  • 1,000 work items per operation. This is a hard cap in Jira Cloud. Larger jobs need to be split.
  • Field availability depends on the selection. Components and Fix versions require work items from one space, the field to be visible, and edit permission. Due Date also requires Schedule work item permission. A custom field must be global or shared by all selected work items through its work type or space scope.
  • No undo. There is no native rollback in either space type. If you change the wrong field on 500 work items, you'll have to bulk-change them back, which requires remembering the original values.
  • Some fields can't be bulk-edited. Summary, Description, Attachments, Environment, and Space are excluded. To move work items between spaces, use Bulk move instead of Bulk edit.
  • Different workflows can't be transitioned together. If your selection spans work items with different workflows, you'll have to transition them in separate groups.
  • Closed and completed sprints are excluded when bulk-editing the Sprint field. Only active and future sprints accept changes.
  • Check notifications before confirming. A bulk edit on 500 work items can notify their assignees and watchers. If available, clear the send-mail option when those updates do not need an email. Some roles cannot disable notifications.
  • Cross-space permissions must all pass. If the selection spans multiple spaces, you need the relevant permission (Edit Work items, Assign Work items, etc.) in every space. A missing permission in one space fails the whole batch.

FAQ

Can I undo a bulk edit in Jira?
No. Jira has no native undo for bulk operations. The only way to reverse a bulk edit is to run another bulk edit setting the fields back to their previous values, which requires knowing what they were. Some teams export the filter results to CSV before running a bulk edit as a backup.
Why is the "Bulk change" option not showing for me?
In company-managed spaces, bulk editing requires the global "Make bulk changes" permission. If you don't have it, the menu item is hidden with no error. Ask your Jira admin to grant the permission, or have them run the bulk edit for you.
Can I bulk-edit the summary or description of multiple work items?
No. Jira excludes Summary, Description, Attachments, Environment, and Space from bulk edits. For space changes, use the separate Bulk Move operation. For summary or description, you'll need to edit work items one at a time or use the Jira REST API.
How many work items can I bulk-edit at once?
Jira Cloud caps bulk operations at 1000 work items per run. Data Center admins can raise this, but it's not recommended above a few thousand due to memory limits. BetterBoard has no fixed cap; bulk edits run against the Jira API in batches behind the scenes.
Can I bulk-edit subtasks?
Yes, but you have to include them explicitly in your filter (e.g. issuetype = Sub-task). Parent work items and their subtasks are separate work items in Jira and aren't grouped automatically in bulk operations. See also: showing multiple Jira spaces on one board.
Does BetterBoard need bulk-edit permissions in Jira?
BetterBoard uses your own Jira credentials, so it inherits whatever permissions you already have. If you can edit a work item in Jira, you can edit it in BetterBoard. There's no extra global permission to enable.
